1. Information We Collect

We collect information in several ways depending on how you use ContractorIQ.

Account and Business Information

When you create or use a ContractorIQ account, we may collect:

• Your name
• Email address
• Sign-in and account information
• Business name
• Business contact information
• Business website information
• Information about your services, locations, competitors, keywords, and other business details
• Information about team members you invite to your account

Users may sign in using an email address, a sign-in link, or a password.

Information From Google Services You Connect

If you choose to connect Google services, ContractorIQ may receive information authorized by you from services such as:

• Google Search Console
• Google Analytics
• Google Calendar

The information available to ContractorIQ depends on the Google account, services, and permissions you choose to connect.

We use connected Google data to provide the ContractorIQ features associated with those services, such as reporting, business analysis, performance monitoring, and other functions visible within the ContractorIQ platform.

You are not required to connect a Google service unless the applicable ContractorIQ feature requires that connection.

Google API Services User Data

ContractorIQ's use and transfer to any other application of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

ContractorIQ uses Google API data only as needed to provide or improve the user-facing ContractorIQ features that use that data, subject to Google's applicable requirements.

We do not use information received from Google APIs to develop, improve or train generalized artificial intelligence or machine learning models.

You can revoke ContractorIQ's access to your Google account through your Google account permissions.

Website Information

ContractorIQ may crawl and analyze websites that a customer asks us to monitor or manage.

This may include:

• Website pages
• Page titles and metadata
• Written content
• Links
• Technical website information
• Search optimization information
• Other publicly accessible or customer-authorized website data

We use this information to provide website audits, search monitoring, content planning, recommendations, and related ContractorIQ features.

Search Ranking, Keyword, and Competitor Data

ContractorIQ receives information from third-party search and public-data providers.

This information may include:

• Search rankings
• Keywords
• Search results
• Competitor rankings
• Competitor website information
• Other search visibility information

Some of this information relates to our customer's business, and some may relate to businesses that our customer identifies as competitors.

Public Posts, Reviews, and Mentions

ContractorIQ may collect publicly available information that mentions or relates to a customer's business.

This may include public information from:

• Reddit
• YouTube
• Review websites
• Public websites
• Other publicly available online sources

We use this information to help customers monitor their online reputation, public mentions, reviews, and business visibility.

If you are an individual whose public content appears in ContractorIQ and you would like us to remove that content from our records, email takedown@contractoriqpro.com.

Please include enough information for us to identify the content you are asking us to remove.

2. Call Recordings, Transcripts, and Caller Information

ContractorIQ can process telephone call information from a customer's own call-tracking account.

This may include:

• Call records
• Call recordings
• Call transcripts
• Call dates and times
• Caller names
• Caller telephone numbers
• AI-generated call summaries or analysis

The people appearing in these calls are generally customers, prospective customers, or other contacts of our business customers. They are not ContractorIQ's customers merely because their information appears in a customer's call records.

ContractorIQ Acts as a Processor for Call Data

For call recordings, transcripts, caller information, and related call data, ContractorIQ acts as a processor or service provider on behalf of the ContractorIQ customer.

Our customer determines why the calls are collected and processed and is responsible for its relationship with the caller.

ContractorIQ processes this information to provide the call-related features requested by that customer.

Customer Responsibility for Call Recording Consent

Our customers are responsible for complying with laws that apply to their telephone calls and recordings.

This includes responsibility for:

• Telling callers that calls are being recorded when required
• Telling callers that recordings or transcripts may be analyzed using artificial intelligence when required
• Obtaining consent when required
• Following federal, state, and local recording, wiretapping, privacy, and communications laws applicable to their business and callers

Recording and consent laws vary by jurisdiction. ContractorIQ does not determine whether a customer's recording practices comply with the laws that apply to that customer.

3. Billing Information

Payments are processed through our payment processor, Stripe.

Stripe may collect information such as:

• Name
• Billing address
• Payment card information
• Payment method information
• Transaction information

ContractorIQ does not store full payment card numbers.

We may receive limited payment and transaction information from Stripe so that we can manage subscriptions, credits, payments, refunds, and billing support.

4. Product Usage Information

We maintain records about how customers and their team members use ContractorIQ.

These records may include:

• Actions taken inside the platform
• Features used
• Credits purchased
• Credits spent
• Subscription information
• Account changes
• Connected services
• Publishing activity
• System and operational logs

We use these records to operate the service, maintain customer account history, calculate credit usage, troubleshoot problems, prevent abuse, provide support, and maintain security.

5. How We Use Information

We may use information described in this Privacy Policy to:

• Create and manage ContractorIQ accounts
• Authenticate users
• Provide ContractorIQ features
• Track Google and AI search visibility
• Monitor competitors
• Audit customer websites
• Process and analyze customer call data
• Produce call transcripts and summaries
• Monitor public mentions and reviews
• Analyze search rankings and keyword information
• Plan and draft website content
• Publish customer-approved pages to connected WordPress or Shopify websites
• Display historical information and results
• Manage subscriptions and credits
• Process payments and refunds
• Send service, account, billing, and transactional communications
• Provide customer support
• Maintain and secure the platform
• Detect misuse, fraud, or security problems
• Comply with applicable law
• Enforce our Terms of Service

6. Artificial Intelligence

ContractorIQ uses artificial intelligence services as part of certain features.

AI services may be used to:

• Summarize calls
• Analyze call transcripts
• Draft website content
• Produce recommendations
• Analyze information used to provide ContractorIQ features

Customer data sent to AI service providers is sent for the purpose of providing ContractorIQ services to that customer.

Information received from Google APIs is not used to develop, improve, or train generalized artificial intelligence or machine learning models.

AI-generated information may contain mistakes, omissions, or inaccurate conclusions. Customers should review AI-generated content and recommendations before relying on or publishing them.

7. Selling and Sharing

We do not sell personal information, and we do not share personal information for targeted advertising.

We disclose personal information only as described in this Privacy Policy, including to service providers that help us operate ContractorIQ, to connected services chosen by the customer, and when required by law.

8. Cookies

We use only strictly necessary cookies to keep you signed in.

We do not use:

• Analytics cookies
• Advertising cookies
• Tracking cookies
• Third-party tracking scripts

Strictly necessary cookies are used only to provide essential account and authentication functionality.

9. Service Providers and Sub-Processors

ContractorIQ uses third-party companies to operate the platform.

Providers that may process personal information on our behalf include:

Supabase — Database hosting. ContractorIQ’s Supabase infrastructure is located in Canada.

Vercel — Application hosting in the United States.

Stripe — Payment processing and billing.

Resend — Transactional and service-related email.

Google — Business email services and Google information that customers choose to connect to ContractorIQ.

Artificial intelligence service providers — AI processing used for call summaries, content drafting, analysis, and recommendations.

Call transcription provider — Processing of audio and call information to produce transcripts.

CallRail — Call-tracking information accessed through a customer’s own CallRail account.

Slack — Notifications when a customer chooses to connect Slack.

WordPress and Shopify — Publishing to a customer’s own website when the customer connects the applicable service and approves publishing.

Search and public-data providers — Third-party providers that supply search rankings, keyword information, search data, public mentions, public reviews, and related business information.

We do not list every search or public-data supplier in this Privacy Policy because providers may change as the product develops.

10. International and Cross-Border Processing

ContractorIQ operates using service providers located in the United States and Canada.

Information may therefore be processed, stored, or transferred between the United States and Canada.

Different jurisdictions may have different privacy and data protection laws.

11. Connected Accounts and Third-Party Services

Customers can choose to connect third-party accounts and services to ContractorIQ.

Depending on the customer's selections, these may include:

• Google services
• CallRail
• Slack
• WordPress
• Shopify

ContractorIQ accesses connected services only to provide the functionality associated with that connection.

Third-party companies also have their own privacy policies and terms. Their handling of information outside ContractorIQ is governed by their own policies.

Customers can disconnect third-party integrations when the applicable service or ContractorIQ functionality permits.

12. Publishing to Customer Websites

ContractorIQ can draft content and publish approved pages to a customer's connected WordPress or Shopify website.

We access the customer's website connection for the purpose of providing this functionality.

The customer remains responsible for:

• Its website
• Its connected accounts
• Content it approves for publication
• Reviewing content before publication
• Making sure published content complies with applicable law and the customer's own obligations

13. How Long We Keep Information

ContractorIQ maintains a customer's history while the customer's account exists.

Historical information is part of the customer's record of work, activity, performance, and results within ContractorIQ. For that reason, we do not automatically delete account history after a fixed period.

We may also retain information when reasonably necessary to:

• Complete a requested transaction
• Maintain billing or accounting records
• Resolve disputes
• Protect the security of the service
• Prevent fraud or abuse
• Comply with legal obligations
• Enforce agreements

14. Account and Data Deletion

Customers may request deletion of their ContractorIQ account and associated data by emailing: privacy@contractoriqpro.com

We may need to verify the request before processing it.

After a valid account deletion request, we will delete the customer's account and data, subject to information we may need to retain where required by law or reasonably necessary for legal, security, fraud-prevention, transaction, or dispute-resolution purposes.

Information stored in routine backups may remain temporarily until those backups are overwritten or deleted through our normal backup process.

For information that ContractorIQ processes only on behalf of a business customer, such as caller records, callers may need to direct certain privacy requests to the business that collected their information.

15. Public Content Removal Requests

Anyone whose public post, review, or other public content has been collected into ContractorIQ may request removal of that content from our records.

Please identify the content, URL, account, username, or other information reasonably needed for us to locate the material.

Removing information from ContractorIQ does not remove the original material from Reddit, YouTube, a review website, search engine, or any other source where it was originally published.

16. Privacy Rights

Depending on where you live and whether applicable privacy laws cover ContractorIQ's processing of your information, you may have rights concerning personal information about you.

Those rights may include the ability to request:

• Access to personal information
• Correction of inaccurate information
• Deletion of personal information
• A portable copy of certain personal information
• Information about categories of information we process
• Information about categories of third parties with whom information is shared
• Other rights provided by applicable law

We provide a portable copy on request by email within 30 days; there is no self-serve export.

Please describe your request and provide enough information for us to identify the relevant records.

We may verify your identity or authority before completing a request.

When ContractorIQ processes information solely on behalf of one of our business customers, we may refer your request to that customer or assist the customer in responding to the request.

We will respond within the period required by applicable law.

17. State Privacy Rights

Depending on where you live and whether applicable state privacy laws apply to ContractorIQ's processing of your information, you may have additional rights.

These may include rights to:

• Confirm whether personal information is being processed
• Access personal information
• Correct inaccurate personal information
• Delete personal information
• Obtain certain personal information in a portable format
• Receive information about categories of personal information processed or disclosed
• Exercise other rights provided by applicable state law

Some information processed by ContractorIQ may be business-to-business, employment-related, publicly available, or otherwise excluded from certain state privacy laws.

If applicable law gives you a right to appeal a privacy-request decision, you may submit the appeal to the same email address and state that you are appealing a previous privacy-request decision.

18. Security

We use administrative, organizational, and technical measures intended to protect information against unauthorized access, misuse, loss, alteration, or disclosure.

No online service, database, transmission method, or storage system can be guaranteed to be completely secure.

Customers are responsible for protecting their own account credentials, connected accounts, email accounts, and devices.

19. Business Customers and Team Members

A ContractorIQ customer may invite employees, contractors, or other team members to its account.

The customer is responsible for deciding who should have access to its ContractorIQ account and for removing access when it is no longer appropriate.

If you use ContractorIQ through an organization, that organization may control your access to the account and information associated with it.

20. Children

ContractorIQ is a business software platform and is not directed to children.

We do not offer ContractorIQ accounts to children for personal or household use.

21. Legal Disclosures

We may disclose information when reasonably necessary to:

• Comply with applicable law, regulation, subpoena, court order, or legal process
• Respond to lawful government requests
• Protect ContractorIQ, our customers, users, or others
• Investigate fraud, security problems, or abuse
• Enforce our agreements
• Protect legal rights or property

We may also transfer information as part of a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, subject to applicable legal and contractual requirements.

22. Changes to This Privacy Policy

We may update this Privacy Policy as ContractorIQ, applicable laws, or our data practices change.

When we make material changes, we will provide reasonable notice, which may include notice through ContractorIQ, by email, or by posting an updated policy on our website.

The effective date at the top of this Privacy Policy shows when the current version became effective.
